We Revamped CAPEX Workflows for Efficiency and Cost Saving

At our client’s end, the earlier CAPEX process within the BI environment was automated using Nintex workflows, and forms were built with InfoPath. The system created and assigned approval tasks to the appropriate stakeholders, while InfoPath was used to design and organize the form fields.
However, our client’s business faced growing challenges and needed a more cost-effective alternative that could retain all the key functionalities—without impacting the accuracy or efficiency of the existing CAPEX process.

Solution
To overcome these challenges, we built a modern digital workflow solution using Microsoft’s low-code tools. The key elements included:

Utilized PowerApps to design and organize the controls for the CAPEX process forms.

Added Switch cases in Power Automate to handle different approval scenarios and conditions.

Designed the workflows to start when a form was submitted, revised, or moved through each approval step. Each workflow was set to run for 30 days to meet the process requirements.

Offering help and guidance to all employees throughout the entire transition process.

We used Power Automate as the workflow automation tool to manage all process tasks.

Set up a PowerApps form for users to submit requests, which triggered the automated workflow.

Created a separate log list to manage workflow triggers on demand. We also stored Power Automate logs for 30 days and built a dedicated log list to make it easier to track and manage completed workflows.

Creating comprehensive user documentation and delivering detailed knowledge transfer sessions.
